If you’re a small business owner, you need these tools

The idea of starting a business in contemporary society is, arguably, a daunting one. Given the state of the current economy, it is safe to say things have certainly been better in years past; this economic decline is not specific to businesses, as many other elements of society have been affected, but businesses are a significant component of generating income in a general sense.

Think about it – each and every time you make a purchase, regardless of what it is, you’re contributing income to a specific company.

Large-scale corporations are not immune to economic decline, but they tend to be far less impacted than small businesses, which is an unfortunate realization. Small businesses are just as relevant and important as large ones, and without small businesses, we are not able to benefit our own communities.

Obviously, I would not recommend jumping headfirst into the notion of launching a small business without any preparation done beforehand, but, if you have done this and have done so successfully, then I absolutely commend you. For those of us less lucky, however, it is wiser to make a business plan of some sort before actually getting into the nitty gritty of opening one to the public, and there are some tools required to ensure success.

I imagine if you were to ask different people what is required, tool-wise, to embark upon beginning a successful business, answers would differ slightly. But, for the most part, there are some essentials to consider that can alleviate the stress of launching a business.

Most people likely think of the most obvious facets of a business before opening one; a location, employees, supplies, advertising and marketing, and attracting customers. These are all vital elements to consider, but allow me to share with you a few more to allow the beginning of a small business to be as affluent as possible.

1. Business Plan Software

Let’s start by talking blueprints—business blueprints, that is. A solid business plan is your roadmap, GPS, and North Star all rolled into one. Software like LivePlan or Bizplan can help you craft a pitch-perfect plan that covers everything from your executive summary to financial projections. Think of it as choreographing your business steps so you don’t step on any toes down the line.

2. Website Builders

In today’s digital business landscape, not having a website is like forgetting your shoes at a tango contest—you simply won’t get very far. Tools like Squarespace, Wix, or WordPress allow even the most technophobic entrepreneurs to create sleek, user-friendly websites without needing to code. Choose a template, drag and drop some elements, and voilà—you’re ready to charm the socks off Google and potential customers alike.

3. Accounting Software

Unless number-crunching is your idea of a fun Friday night, you’ll want accounting software to keep your financials in good shape, and avoid not only any problems with cash flow, but also any issues with the tax man too! QuickBooks, FreshBooks, and Xero can manage everything from invoicing to payroll, ensuring you stay on the beat with your bills, taxes, and cash flow. It’s like having a financial dance partner that never steps on your feet.

4. Social Media Management

Social media is the stage where your business performs every day, and if you perform badly, the audience will simply walk away. To keep your posts in sync without spending every waking moment online, you need a social media management tool. Buffer, Hootsuite, or Sprout Social can schedule your posts, track engagement, and help you tune into your audience’s needs and desires. It’s your backstage crew, making sure every performance is a hit.

5. Graphic Design Tools

If your business were a dancer, then your brand would be its costume—vital for making a lasting impression. But hiring a designer for every little graphic? That’s a quickstep to brokeville. Tools like Canva or Adobe Spark let you create professional-looking logos, flyers, and social media graphics with ease. Now, dressing up your brand is as easy as piecing together a puzzle.

6. Email Marketing Services

Email is, more often than not, the thing that connects you directly to your customers, so it is really important that you have the right tools to help you manage it as effectively as possible. Platforms like Mailchimp or Constant Contact not only help you build and manage your email list but also design engaging newsletters that keep your audience hooked. Keep those lines of communication open and watch your customer relationships blossom.

7. Credit Card Processing Machines

Ah, the sweet sound of success! Whether you’re selling handmade quilts or offering consulting services, getting paid is the finale of your business performance. A reliable payment machine – try this credit card processing machine – ensures that you accept payments smoothly and professionally. Look for providers like Square or Stripe that offer straightforward pricing and easy integration. Now, every transaction can be as smooth as that first celebratory drink when you get your very first customer!

8. Project Management Software

When your to-do list looks messier than a teenager’s bedroom, you know that it’s time for project management software that will help to untangle your web or instructions and projections, and make sense of it all. Tools like Asana, Monday.com, or Trello help you keep track of tasks, deadlines, and collaborations, so that everyone on your team knows exactly what is expected of them, and how far along they, and your other employees are, so they can all keep track, stay on the same page, and ultimately find more success more efficiency.

9. Customer Relationship Management Software

Last but not least,  you are going to want to sort out a good CRM system that helps you manage interactions with current and potential customers before you launch your business to the world. Salesforce, HubSpot, or Zoho can all track sales, store customer info, and help you tailor your marketing efforts, so that you get more customers onboard with your business faster.
